1. About this policy

Work Is for Robots LLC ("we," "us," "our") is an artificial intelligence and automation consultancy based in Charlotte, North Carolina. This policy explains what personal information we handle, why, who we share it with, and what choices you have.

We handle personal information in two different ways, and which one applies to you determines who you should contact.

As a business making our own decisions. When you visit our website, contact us, or become our client, we decide what to collect and why. Sections 3 through 9 describe this. If this is you, contact us directly using Section 13.

On behalf of our business clients. We build and operate phone answering, messaging, and automation systems for other businesses. When you call or text one of those businesses, we may handle your information — but we do so only on that business's instructions, and it is that business, not us, that decides what is collected and why. Section 10 describes this. If this is you, your request should go to the business you contacted. We will help them respond, and if you contact us we will pass your request along.

2. Quick summary

  • We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
  • We do not use your information to train artificial intelligence models.
  • We use a small number of service providers to run our business, listed in Section 6.
  • Calls to our business line, and to phone systems we operate for our clients, are recorded and transcribed. You are told this at the start of the call.
  • If you receive text messages from us or from a business using our systems, reply STOP to stop them and HELP for help. Message frequency varies and message and data rates may apply. Section 11 has the detail.
  • You can ask us what we hold about you and ask us to delete it. Section 8 explains how.

3. Information we collect about you

When you visit our website. Pages you view, the approximate location your internet connection reports, your browser and device type, referring website, and the time of your visit. This comes from analytics tools described in Section 9.

When you contact us. Your name, email address, telephone number, business name, and whatever you choose to tell us in your message, form submission, or call.

When you call our business line. The telephone number you are calling from, the date, time and length of the call, an audio recording, and a written transcript. Our phone system is answered by an automated assistant that discloses the recording at the start of the call.

When you book a meeting with us. Your name, email address, and any details you provide about what you want to discuss.

When you become our client. Business contact details, billing and payment information, the contents of our correspondence, and the account and system information needed to deliver the services you have purchased.

We do not collect payment card numbers directly, government identification numbers, health information, or information about children.

4. How we use it

  • To respond to you, answer questions, and schedule and hold meetings
  • To deliver, support, and invoice for services our clients have purchased
  • To operate, secure, troubleshoot, and improve our own systems
  • To keep records required for tax, accounting, insurance, and legal purposes
  • To send occasional information about our services to business contacts who have asked for it or with whom we have an existing relationship

We rely on your having contacted us, our contract with you, our legitimate business interests, and our legal obligations, as applicable.

We do not use your personal information to train, fine-tune, or develop artificial intelligence models. We use AI tools built by other companies, and where those companies offer a setting to exclude our data from their model training, we turn it on.

5. We do not sell your information

We do not sell personal information. We do not share personal information for cross-context behavioral advertising. We do not disclose personal information to data brokers or advertising networks. We have not done so in the preceding twelve months.

6. Who we share it with

We share personal information only with service providers who need it to help us run our business, and only for that purpose. As of the effective date these are:

Each is bound to use the information only to provide its service to us. This list changes as our systems change; the current version is always the one published here.

We may also disclose information when required by law, in response to lawful requests from public authorities, to protect our rights or safety or those of others, or in connection with a sale or reorganization of our business. If we are ever required to disclose information about you by legal process, we will tell you where we are permitted to do so.

7. How we protect it

We maintain administrative, technical, and physical safeguards appropriate to the size of our business and the sensitivity of the information, described in our internal Information Security Program. These include:

  • Encryption of information in transit and at rest
  • Access limited to named individual accounts, with multi-factor authentication on administrative accounts
  • Server access by cryptographic key only, with password login disabled
  • Verification of the authenticity of incoming system requests
  • Logging of access and system events
  • Regular backups with tested restore capability
  • Review of the security practices of the providers listed in Section 6

No system is completely secure, and we cannot guarantee the security of information transmitted over the internet. If a security incident affects your personal information, we will notify you and any regulator as required by applicable law.

8. Your choices and your rights

You can ask us to:

  • Tell you what personal information we hold about you
  • Give you a copy of it
  • Correct it if it is wrong
  • Delete it
  • Stop sending you marketing email

How to ask. Email privacy@workisforrobots.com or write to us at the address in Section 13. Tell us what you want and enough detail for us to find your records. We will respond within 45 days. If we need longer we will tell you why before that period ends. We do not charge for this, and we will not treat you differently for asking.

Verification. We may need to confirm your identity before acting, usually by asking you to reply from the email address or telephone number we already hold.

Limits. We may keep information we are required to retain by law, and information necessary to complete a transaction or resolve a dispute. Deleting information from our live systems does not immediately remove it from backup copies, which are overwritten on a rolling schedule.

Marketing email. Every marketing email we send has an unsubscribe link. Unsubscribing does not stop messages about services you have purchased.

Do Not Track. Our website does not respond to Do Not Track browser signals, because no common standard for them exists.

9. Cookies and analytics

Our website uses Google Analytics and Google Tag Manager to understand how the site is used — which pages are visited, how people arrive, and whether anything is broken. These set cookies in your browser.

You can block or delete cookies in your browser settings, and you can install Google's browser add-on to opt out of Google Analytics entirely. Blocking cookies may affect how parts of our site work.

We do not use advertising cookies, retargeting pixels, or social media tracking pixels.

10. Information we handle for our business clients

We build and operate systems for other businesses — automated phone answering, text messaging, appointment booking, and workflow automation. When you interact with one of those businesses through a system we operate, we may handle:

  • Your name, telephone number, email address, and service address
  • The audio recording and written transcript of your call
  • The content of text messages you exchange with that business
  • Appointment details and notes about what you asked for

We handle this information only on that business's instructions. That business decides what is collected, why, and how long it is kept. Under privacy law we are a service provider and processor; that business is the controller.

What this means for you. If you want to know what is held about you, correct it, or have it deleted, contact the business you called or texted. That business's own privacy policy governs. If you contact us instead, we will forward your request to them within five business days and help them respond, but we cannot act on it ourselves.

Recording. Calls handled by systems we operate are recorded and transcribed. You are told this at the beginning of the call and can end the call if you do not wish to be recorded. Our clients are responsible for meeting the recording consent requirements that apply to their business.

Text messages. Our clients are responsible for obtaining the consents required before sending you text messages, and for honoring opt-out requests. Replying STOP to any message will stop further messages.

Automated systems. Some calls and messages are answered by an automated assistant rather than a person. Automated systems can make mistakes, including getting details of an appointment or a price wrong. Anything important should be confirmed directly with the business.

11. Text messaging

This section applies to text messages sent by us, and to text messages sent through systems we operate on behalf of a business you contacted. It sits alongside Section 10, which explains the difference.

Message frequency varies. How often you receive messages depends on how you interact with us or with the business you contacted. Some messages are one-off replies to something you did — a missed call, a form submission, a question you asked. Others continue a conversation until it is finished. We do not send recurring marketing or promotional campaigns.

Message and data rates may apply. Your mobile carrier may charge you for sending or receiving text messages, depending on your plan. We do not charge you anything, and we have no control over what your carrier charges.

We do not share your mobile number. Mobile telephone numbers and consent to receive text messages are never shared with third parties or affiliates for their own marketing purposes, and are never sold. We share a mobile number only with the service providers listed in Section 6 who transmit the message on our behalf, and only for that purpose. This is a specific statement about mobile numbers, in addition to the general position in Section 5.

How to stop messages. Reply STOP to any message and messages to that number will stop. You may also reply UNSUBSCRIBE, CANCEL, END, or QUIT. You will receive one confirmation that you have been unsubscribed, and then nothing further.

How to get help. Reply HELP to any message, or contact us using the details in Section 13.

Carriers are not liable for delayed or undelivered messages.

Where a message comes from a business you contacted, that business decided to send it and is responsible for having obtained your consent. Section 10 explains how to reach them and what we can and cannot do on your behalf.

12. Retention

We keep personal information only as long as we need it for the purposes described in this policy, and then we delete it.

Website analytics. We configure Google Analytics to retain visitor-level data for no more than 14 months.

Enquiries. If you contact us and do not become a client, we keep your enquiry while we may reasonably still be in conversation, and delete it afterwards.

Calls to our own business line. We keep recordings and transcripts for as long as we need them to follow up and to keep a record of what was agreed, and delete them afterwards.

Client records. We keep agreements, invoices, and correspondence for as long as required for tax, accounting, insurance, and legal purposes.

Backups. Our backups are overwritten on a rolling schedule. Information deleted from our live systems remains in backups until that schedule completes.

You can ask us to delete sooner. Section 8 explains how, and we will do it unless we are required to keep the information by law.

Information we handle for our business clients is kept according to our agreement with that client, described in Section 10. Those retention periods are set in that agreement, not here.

If you are unhappy with how we have handled your information, contact us first and we will try to put it right. You may also have the right to complain to your state attorney general.

14. Children

Our services are sold to businesses and are not directed to children. We do not knowingly collect personal information from anyone under 13. If you believe a child has given us personal information, contact us and we will delete it.

15. Other websites

Our website may link to other sites. We are not responsible for their privacy practices, and this policy does not apply to them.

16. Changes to this policy

We review this policy at least once a year, and we audit our compliance with it at least once a year. We update it whenever our systems, service providers, or practices change in a way that affects it.

When we make a significant change we will update the effective date at the top and, where we have your contact details and the change materially affects you, tell you directly. The current version is always published at workisforrobots.com/privacy.
