Engagement

Team AI Onboarding & Setup

Get your team using AI confidently — within a week, not a quarter.

Overview

What is Team AI Onboarding?

A half-day or full-day engagement where we get your whole team set up and genuinely confident with AI. We pick the right tools for your stack — Claude, Copilot, Gemini, or a mix — configure shared workspaces loaded with your internal docs, build custom Skills and Projects for the way your team actually works, and train everyone live.

By the time we leave, AI is not a curiosity a few people poke at — it is part of how the team works, with a shared setup and a written playbook to keep it that way.

What this isn't

This isn't custom agent development. It's enablement — the step that makes your team fluent so they can spot what's worth building. The custom automations and agents come later, once you know exactly where they'll pay off.

The why

The problem it solves

You bought the AI subscriptions, but the seats sit unused — nobody is quite sure what to do with them, so the invoice just renews every month.

A few people use AI constantly, others not at all, and everyone does it differently. There is no shared way of working and no way to spread what is working.

Half the team hears "AI" and quietly freezes. They are not resistant — they just have never been shown how it fits their actual job.

Process

How Team AI Onboarding works

  1. 1

    Discovery

A 45-minute call to understand how your team actually works — the tools in your stack, the tasks that eat the most time, and where AI will earn its keep first.

  2. 2

    Setup

Before we arrive, we configure accounts and seats, stand up shared workspaces loaded with your internal docs, build the custom Skills and Projects for your workflows, and wire up the integrations.

  3. 3

    Training

A live half- or full-day session with the whole team — hands on their real work, not a slideshow. Everyone leaves having actually used the tools on something that matters to them.

  4. 4

    Playbook

We leave behind a written "How we use AI at [your company]" guide — the tools, the workflows, the prompts, and the guardrails — so the knowledge sticks after we are gone.

Deliverables

What's included

  • Plan and tool selection matched to your stack
  • Account and seat setup for the whole team
  • Shared workspaces configured with your internal docs
  • 5–10 custom Skills/Projects built for your workflows
  • A 2-hour live training session with your team
  • A written ~20-page internal AI playbook

Fit

Best for

Teams of 5–15 people who want consistent, confident AI use within a week — not a vague six-month rollout. It lands especially well with teams whose day is full of repeatable knowledge work.

Engagement

How we price this

A flat $1,500–$3,500 for a 5–15 person team, depending on how many workflows and integrations we build out. One-time engagement — no monthly commitment required to get your team fluent.

Most teams treat it as the on-ramp: once everyone is confident, the repetitive tasks worth automating outright become obvious, and that is a natural — but entirely optional — next step.

Questions

Frequently asked questions

Which AI tools do you set us up with?
Whatever fits your stack — Claude, Microsoft Copilot, Gemini, or a mix. We are not tied to one vendor. In discovery we look at the tools you already pay for and the work you actually do, then recommend the setup that gets your team productive fastest rather than the one that is easiest for us.
What actually changes after the session?
Your team goes from "we have AI somewhere" to a shared, consistent way of working. People use the same workspaces, reach for the same Skills, and know what AI is good and bad at for their role. The playbook means a new hire can get up to speed without you re-explaining everything.
Do we need to involve IT?
Usually only lightly. For most teams we work within tools you already control. If your setup needs admin approval for new seats or single sign-on, we will flag exactly what we need in discovery so it is handled before the training day — no surprises.
What happens to the playbook over time?
It is yours to keep and edit. We write it in a living document so your team can update it as workflows change. Many clients revisit it after a few weeks once new habits have formed, and some bring us back to expand it as their use grows.
Is this custom automation or agent development?
No — and we are deliberate about that. This is enablement: it gets your team fluent and consistent with the AI tools that already exist. Custom builds — agents and automations tailored to a specific task — come later, once you know what is worth automating. This is the step that makes those builds obvious.
How big a team is this for?
It is sized for teams of roughly 5–15 people. Smaller teams still benefit but often need less; much larger teams we handle as multiple sessions by department. Tell us your headcount and we will tell you honestly whether one engagement covers it.
What comes after onboarding?
Most teams spot one or two repetitive tasks worth automating outright once they are fluent. That is the natural progression into automation work — and there is no monthly commitment required to take this first step.
